2.1 Scope

TicketBuddy, an AI chatbot solution developed by CloudNation bv, respects users' privacy and processes personal data in accordance with applicable laws and regulations.

CloudNation bv is the Data Controller for processing personal data related to the use of TicketBuddy.

Name and contact details - includes users’ email addresses and phone numbers.

IP address and user activity - covers interactions with TicketBuddy.

Content of conversations - encompasses the dialogue and documentation between the user and TicketBuddy (when applicable, for optimization and support).

Other personal data - any additional information provided voluntarily via available API connectors.

2.4 Purposes of processing

Providing access and functionality - enables use of TicketBuddy.

Analyzing and improving functionality - optimizes the chatbot’s performance and user experience.

Responding to inquiries and support - addresses questions and provides Customer assistance.

Legal compliance - meets our legal obligations.

Customer research and analysis - enhances TicketBuddy services.

2.5 Legal basis for processing

Consent - we process personal data provided during the use of TicketBuddy.

Performance of the contract processing is necessary to execute the contract between CloudNation bv and the Customer.

Legal obligation - we may be required to process data for legal reasons (e.g. for tax obligations).

Legitimate interest - processing is carried out to improve our services, such as analyzing user activity and optimizing the chatbot.

2.6 Data retention

Conversations with TicketBuddy - are retained for a period agreed upon with the Customer; conversation content remains within the Customer's subscription and is not used for AI model training purposes.

Contact details - are retained as long as needed for communication and service provision.

After the retention period expires, personal data is deleted or anonymized unless a longer period is required by law.

2.7 Sharing of personal data with third parties

Hosting and cloud storage providers - for storing and processing data.

Platform or software providers - for processing data.

Government authorities - when required by law or regulation.

We ensure that any third party who processes personal data on our behalf, maintains the same level of security and confidentiality.

2.8 Data security

Isolated environment - each Customer installation ensures complete data separation from other customers. The specific implementation details may evolve as technology progresses, but data isolation remains guaranteed.

Encryption - is applied to all stored data.

Access restrictions - are enforced for personal data.

Secured networks and systems - are utilized to protect data integrity.

Regular security audits - are conducted to ensure compliance with security standards.

2.9 Customer rights

Access - Customers can request access to their personal data processed by CloudNation bv at any time.

Rectification - Customers have the right to request correction of inaccurate or incomplete personal data.

Erasure - Customers may request deletion of their personal data, unless we are legally required to retain it.

Restriction of processing - Customers may request that processing of their personal data be limited in certain cases.

Objection - Customers can object to processing based on legitimate interest.

Data portability - Customers have the right to receive their personal data in a structured, commonly used, and readable format and to transfer it to another Data Controller.

Customers can submit requests via email at connect@ticketbuddy.io. We will respond within 30 days.

2.10 Changes to the Privacy Policy

We reserve the right to modify this Privacy Policy. Changes will be published on this page, and we will notify Customers by email or through CloudNation bv if necessary. We advise Customers to review this Privacy Policy regularly.
